    Hudu Tips & Tricks:
    Activity Logs & Revision History

    An extremely important aspect of security is change control. The ability to have trackable data for when an item changes in your documentation is essential for your documentation. What happens if a password is changed and you don't know when it was changed or who changed it? What about the serial number on a workstation or the contents of a knowledge base article? Hudu offers two different forms of monitoring this through activity logs and revision history.

    Activity Logs

    Activity logs track actions a user performs within your Hudu environment. They can be found on individual items stored within Hudu (i.e. logs that are specific to each unique password, KB article, custom asset, etc.) as seen here:

    Activity logs can also be seen at the global level. You can click the "View all activity" button seen in the image above, or for activity across all spaces, you can navigate to the admin area > Activity Logs tab as seen here:

    In this example, I see each password that Creed Bratton has deleted at the global level. There are multiple filters you can choose from in this section including company name, action, user, and/or IP address, making it very easy to see exactly what has changed in your Hudu environment.

    Revision History

    Revision histories serve to provide a breadcrumb trail of passwords, articles, assets, etc. To see this on any of these items, you can go to the same area as the activity logs on an item are, but select "Updates" instead of "Views":

    If you want to see the full version trail of the item, you can simply click into one of the updates. Your current version will be notated at the top of the timeline. Once you are here, you have the ability to revert back to previous versions, preview and compare differences between versions, and see exactly who made the changes and when they were made. This allows you to not only know when changes are made but actually visually see what the exact changes were. The image below shows the revision history for an article but again, this will also be available for many other items in Hudu.

    Summary

    Overall, change control is necessary for monitoring and auditing your documentation, ensuring you know every piece of the puzzle. These features allow every change to be automatically tracked, providing you easy viewing into your user's changes.
